OFFICE MANAGER

Employment: Full-Time

Location: Neptune City, NJ 

Description:

Established building services contractor with strong potential and great growth opportunities. Over the past years, there have been investments in rebranding, infrastructure, and systems/processes; now it needs help with growth and organization. This is a position is for a self-starter who can help assist/develop processes that will take the business to the next level.

Responsibilities:

  • Purchasing Supplies (consumables, cleaning equipment, cleaning chemicals, uniforms) 
  • Invoicing, inputting checks, and payroll
  • Bookkeeping
  • Organize Billing (Payables, credit cards, vendors) 
  • Monitor all cleaning activities on site
  • Accounts Receivable (process, follow up, track)
  • CRM and customer contact management
  • Answering phone calls and emails, handling customer service
  • Data entry using excel and quick books
  • Human Resource Clerical Tasks (maintain database, managing ADP, tracking employee hours)
  • Organizing calendar, emails, contacts
  • Office assistant duties
  • Light assistance with personal errands
  • Need person to be at the office at least 4 days per week to collect checks, process checks, and monitor subcontractors/employees that pick-up supplies. After a year or two, the job can be more days remote.

  • Previous experience in service business (HVAC, Plumbing, Janitorial, Construction, Irrigation, etc.)
  • Must know Microsoft office: outlook, excel, word
  • Bilingual in Spanish a plus, but not required
  • Proficiency in Quickbooks online and Quickbooks desktop. Proficiency in Bookkeeping.
  • Experience working with contractors is a plus
  • THIS IS NOT A REMOTE JOB, IT IS ON SITE IN NEPTUNE CITY
  • Open to recent graduates of accounting
  • High school or equivalent (Required)
  • Spanish (Preferred)
